Student Transition Planning Tool FORM

The CWTS Student Transition Planning Tool is a fully editable, rebrand-ready form aligned to the Standards for RTOs 2025. Designed for RTO managers, training coordinators, and compliance officers responsible for managing the impact of training package updates on enrolled students, it provides a structured framework for planning and documenting the transition of students from a superseded qualification to the current version, ensuring that every affected student, system, and operational process is updated consistently and within the required transition timeframe.
 
Student transition is one of the most operationally complex compliance tasks an RTO faces when a training package is updated. It is not simply a matter of updating the qualification code in your SMS. Every affected student must be individually assessed to determine the most appropriate transition pathway. Resources, assessment tools, and TAS documents must be reviewed and updated to reflect the current version. AVETMISS data must be reconciled to ensure enrolment records accurately reflect the training product against which each student will be certified. And the transition must be completed within the transition arrangements specified on training.gov.au, which are not negotiable and which ASQA monitors closely. An unmanaged or undocumented transition is a certification error waiting to happen.
 
This tool provides a consistent, auditable process for planning and executing student transitions across all affected qualifications on your scope. It aligns to the Compliance Requirements of the Standards for RTOs 2025 and was developed in conjunction with the Registration and Scope Management Policy Procedure. It includes the following:
