Work Placement Agreement TEMPLATE
The CWTS Work Placement Agreement is a fully editable, rebrand-ready template aligned to the Standards for RTOs 2025. Designed for RTO managers, training coordinators, and compliance officers responsible for establishing and formalising work placement arrangements with host employers and industry partners, it provides a structured framework for documenting the respective responsibilities of your RTO and the host organisation in delivering work-based training and assessment, ensuring that every placement arrangement is governed by a clear, signed agreement before a student enters the workplace.
Work placement arrangements are among the most legally and compliance-sensitive relationships your RTO manages. Your RTO remains fully accountable for the quality of training and assessment conducted in a host employer's workplace, for the safety of students placed there, and for the adequacy of the environment to meet the requirements of the relevant training product. A verbal arrangement or informal understanding with a host employer provides none of the protections your RTO needs when a placement does not go as planned. Without a signed agreement that clearly documents what each party is responsible for, disputes about supervision, assessment conduct, WHS obligations, and insurance coverage are significantly more difficult to resolve and significantly more exposed to regulatory scrutiny.
This template provides a consistent, auditable framework for formalising work placement arrangements across all industry partners and host employers your RTO engages. It aligns to clauses 1.2 and 1.8 of the Standards for RTOs 2025 and was developed in conjunction with the Assessment and Evidence Collection Policy Procedure and the Industry Engagement Policy Procedure. It includes the following:
- RTO and host employer identification and contact details fields
- Scope of work placement activities and training product identification section
- Respective responsibilities of the RTO and host employer documentation fields
- Student supervision arrangements and assessor access confirmation section
- WHS obligations, insurance, and incident reporting responsibilities fields
- Agreement term, review date, and authorised signatory fields for both parties
