Attendance Record TEMPLATE
The CWTS Attendance Record Template is a fully editable, rebrand-ready template aligned to the Standards for RTOs 2025. Designed for RTO trainers, administrators, and coordinators responsible for recording and retaining evidence of student participation in class-based training, learning, and assessment activities, it provides a structured framework for capturing attendance consistently across all sessions, cohorts, and delivery locations your RTO uses.
Attendance records serve multiple compliance purposes that extend well beyond confirming a student was present in a room. They are evidence that training was delivered as documented in your Training and Assessment Strategy, that students had access to the learning opportunities required to develop the knowledge and skills assessed in each unit of competency, and that your RTO maintained the level of student contact and engagement its delivery model committed to. For funded training programs, attendance records are often a contractual requirement that carries financial as well as compliance implications. For all RTOs, they are a foundational student record that ASQA expects to find in every course file reviewed during audit.
This template provides a consistent, auditable framework for attendance recording across all class-based delivery modes and training locations your RTO uses. It aligns to clause 1.1 of the Standards for RTOs 2025 and was developed in conjunction with the Delivery of Training Policy Procedure. It includes the following:
- Program, unit of competency, and session identification fields
- Student name and enrolment identification recording section
- Individual session attendance marking fields with absence reason notation
- Trainer identification and session confirmation sign-off section
- Cumulative attendance tracking fields for monitoring engagement across the program
- Authorisation and record retention confirmation fields for audit trail purposes
