Credentials and Certification REGISTER

The CWTS Credentials and Certification Register is a fully editable, rebrand-ready register aligned to the Standards for RTOs 2025. Designed for RTO administrators and compliance officers responsible for maintaining accurate records of all certification documentation issued to students, it provides a structured framework for recording every qualification, statement of attainment, and record of results issued by your RTO, ensuring that a complete and auditable certification history is maintained regardless of whether your RTO uses a student management system for this purpose.
 
Your RTO's obligation to maintain accurate certification records does not end at the point of issuance. The Standards for RTOs 2025 require that your RTO can produce evidence of every credential it has issued, including the training product, version, student details, and date of issue, for the full retention period applicable to student records. When a former student requests a reissue of their credential, when ASQA asks your RTO to verify a certification claim, or when an employer queries the authenticity of a qualification, your certification register is the primary record your RTO relies on to respond accurately and promptly. An incomplete or poorly maintained register creates gaps in your certification history that are difficult and sometimes impossible to reconstruct after the fact.
 
This register provides a consistent, auditable framework for certification record keeping across all qualifications and units of competency your RTO delivers. It aligns to clauses 2.1 and 2.2 of the Standards for RTOs 2025 and was developed in conjunction with the Credential Review Checklist and the Issuing Certification Policy Procedure. It includes the following:
 
Student identification and legal name recording fields
Training product name, code, version, and qualification or unit type section
Credential type classification fields covering qualifications, statements of attainment, and records of results
Issue date, issuing authority, and credential reference number recording section
Reissue history and amendment recording fields
Register review and authorisation fields for audit trail and records retention purposes
