Third Party Agreements REGISTER

The CWTS Third Party Agreements Register is a fully editable, rebrand-ready register aligned to the Standards for RTOs 2025. Designed for RTO managers and compliance officers responsible for overseeing third-party arrangements, it provides a structured framework for recording every third-party agreement your RTO has in place, tracking the status and currency of each arrangement, monitoring ASQA notification obligations, and maintaining a centralised, auditable record of all organisations delivering training, assessment, or related services on your RTO's behalf.

 

Third-party arrangement management requires more than signed agreements filed in a folder. Your RTO must be able to demonstrate at any point that it knows who it has third-party arrangements with, what each arrangement covers, whether each agreement is current and has been reviewed within the required timeframe, and whether ASQA has been notified of arrangements that trigger a notification obligation under the Standards for RTOs 2025. An RTO that cannot produce a current, complete record of its third-party arrangements during audit is an RTO that cannot demonstrate it is actively managing one of its most significant accountability obligations. The consequences of undisclosed or poorly managed third-party arrangements extend from audit findings through to the validity of the training and assessment delivered under those arrangements.

 

This register provides a consistent, auditable framework for third-party agreement tracking and ASQA notification management across all arrangements your RTO enters into. It aligns to clause 4.2 of the Standards for RTOs 2025 and was developed in conjunction with the Third Party Arrangements Policy Procedure, Third Party Monitoring Checklist Form, and Third Party Agreement Template. It includes the following:

 

  • Third party organisation identification, contact details, and arrangement type recording fields
  • Scope of services and authorised delivery activities summary section
  • Agreement commencement date, review date, and expiry or renewal fields
  • ASQA notification requirement assessment and notification date recording section
  • Monitoring schedule and last monitoring activity outcome fields
  • Agreement status classification and next required action fields for audit trail purposes
